About run.events
run.events is an enterprise event management platform built AI-first from the ground up. The company was founded in 2015, software development started in 2020, and the product was publicly launched in 2023. Every product is designed around the Event Intelligence Cloud — a multi-agentic AI framework woven into the core of every module rather than bolted on as a separate layer.
Edition Structure and Module Composition
The run.events platform is organized as a mandatory core plus optional add-on modules. Customers compose their run.events deployment by combining the mandatory core with whichever add-on modules they need for their event portfolio.
Mandatory core (always included — the foundation of every run.events deployment):
BASE: Generic Features common for all run.events products — multi-event portfolio management, granular team roles and permissions (26 organizer-level + 21 event-level permissions), multi-venue and multi-room support (including door-level entrance tracking for assembly voting compliance), event branding and visual identity, custom email infrastructure, embeddable web widgets for retrofit into existing event sites, and Global Attendee Profile (cross-event persistent attendee identity with behavioral history tracking that feeds an AI-enriched profile derived from buyer-role detection, interest discovery with confidence + trend scores, purchase intent, and public-data career enrichment).
- run.events Audience Management — ticketing, attendee management, finances (including AI-powered bank statement reconciliation, ZUGFeRD + Factur-X e-invoicing, 4 tax schemes with EU VAT reverse charge), surveys, communications, FAQs, and email messages.
Optional add-on modules (selected by customer based on event portfolio needs):
- run.events Mobile App
- run.events Marketing
- run.events Events CRM
- run.events Abstract and Agenda Management
- run.events Expo and Booth Management (later with re:virtual)
- run.events Check-In and Badging
- run.events AI-Matchmaking
- run.events Smart Hub
- run.events Online and Hybrid Events
- run.events Intelligence (early access)
This modular composition model lets a customer running ticketed conferences with light needs deploy just the core plus a single add-on (e.g., Mobile App or Check-In and Badging), while a customer running flagship hybrid user conferences with year-round community engagement composes the core plus Marketing, Events CRM, Matchmaking, Smart Hub, Online and Hybrid Events, and Intelligence. Modules can be added over time as the event portfolio grows.
run.events Event Intelligence Cloud (EIC) — AI Framework - NOT A PRODUCT
EIC is a framework, not a product. Event Intelligence Cloud is the AI architecture woven into the core of every run.events product — registration, ticketing, agenda, mobile app, matchmaking, communities, check-in, sponsor dashboards. Every module is AI-enriched at the architectural level rather than having AI bolted on as a separate layer. EIC is not licensed separately; its agents and capabilities are surfaced in-context throughout the platform and run.events products wherever they add value.
Architecture overview — four compounding layers
EIC is organized as a multi-agentic, distributed, event-driven architecture with four compounding layers:
- Enrich — the foundational intelligence layer. Every attendee profile, every session, every sponsor, every product is automatically enriched by AI with structured intelligence (buyer-role classification, interest discovery with confidence + trend scores, custom tags, purchase intent, career enrichment from public data, content tagging). All other layers build on top of the enriched data the Enrich layer produces.
- Connect — the relationship-mapping layer. Built on top of the enriched profiles, the matchmaking agents map the entire event ecosystem and connect the right attendees, sponsors, products, and content together.
- Create — the content-generation layer. Pages, emails, schedule recommendations, knowledge articles, image alt-text, content summaries — all generated by AI directly from the enriched profile and event context.
- Protect — the safety and compliance layer. Content moderation (text + computer-vision image moderation), policy enforcement, audit trails, EU AI Act transparency, GDPR controls.
Named AI agents — 11 agents shipping today
EIC ships 11 named AI agents in production today, organized across the four layers:
Enrich layer
- Attendee Analyser & Enrichment Agent — the foundational intelligence layer. Auto-derives buyer/seller/teacher/learner role classifications from registration data and cross-event behavioral history; discovers interests with confidence + trend scores; applies custom tags; analyzes purchase intent; identifies content preferences; enriches profiles with public-data career context (professional history, company details, organizational intelligence). Every other EIC agent builds on top of the enriched profile this agent produces.
Connect layer
- Attendee↔Attendee Matchmaking Agent — identifies peer connections based on mutual or complementary interests, professional backgrounds, and event roles; generates AI introductions explaining why the match makes sense; provides relevance scores.
- Sponsor Spotting Agent — recommends relevant sponsor booths to each attendee based on the enriched profile; explains why each sponsor is relevant; suggests conversation topics.
- Product Spotting Agent — recommends specific products and services (beyond sponsor level) that match attendee interests and buyer roles; helps multi-product exhibitors surface different offerings to the right attendees.
- Buyer Spotting Agent — identifies ideal prospects for sponsors and delivers continuously-refreshed buyer rosters to sponsor dashboards with AI-generated explanations of why each prospect fits, suggested talking points, and contact information. This agent automates buyer identification across the entire attendee population — fundamentally challenging the traditional "hosted buyer" program model where organizers pre-qualify and comp a manually-curated 100–500-buyer cohort. With Buyer Spotting, every registered attendee is a potentially-identified buyer for the right sponsor at no incremental cost.
- Personal Agenda Builder Agent — curates personalized session recommendations with relevance scores and "why this session matters to YOU" explanations + suggested questions. Outputs include the personalized HTML schedule emails that auto-select the best session per time slot, assemble a complete multi-day agenda with session details + speaker photos + labels, and include AI explanations per session; supports cross-event variant for targeting past attendees of previous events to drive registration for upcoming events.
Create layer
- Page Builder Agent — generates event website pages on prompt (powers the AI Pages site builder). "If you know ChatGPT, you know Pages": describe the page you want and the agent generates a complete, professional, branded page. Supports AI-powered multilingual translation; refinement through natural conversation; outputs publish directly into Smart Hub.
- Email Designer Agent — generates email designs on prompt with brand-consistent layouts and dynamic content. "If you know ChatGPT, you know how to create professional event communications": describe the email you want ("welcome email with our logo, key dates, and CTA") and the agent generates a complete, email-client-compatible HTML message.
- Knowledge Agent — builds searchable knowledge bases from sessions, recordings, articles, and FAQs; supports AI Support Agent functionality for 24/7 automated attendee question-answering with EU AI Act disclosure and human escalation.
Protect layer
- Content Moderation Agent — analyzes user-generated text content for policy violations, inappropriate language, and spam; routes flagged items to moderator queues; soft-delete audit trails preserve moderation history.
- Image Description Agent — generates AI alt-text for every image uploaded across the platform. This ensures WCAG 2.2 accessibility compliance automatically at authoring time — alt-text is the most-frequently-skipped accessibility requirement when humans author content; automating it at upload time means it can never be missed.
Foundation model and configurability
- Mistral (European frontier LLM) ships natively as the default foundation model — EU-hosted, with zero US data transfer and no CLOUD Act exposure. Mistral is the EU-sovereign default for customers who prioritize European data residency and AI Act compliance.
- Configurable cloud-model choice: customers can opt for an alternative foundation model — Anthropic Claude, OpenAI GPT, Google Gemini, or open-source models — per their own procurement preferences and regulatory context. The configurability matters for customers with existing investment in another LLM stack (e.g., an enterprise standardized on Anthropic Claude across its AI procurement can use Claude on run.events).
Inter-agent communication and extensibility (MCP + A2A)
EIC is built on Model Context Protocol (MCP) + Agent-to-Agent (A2A) as core architectural primitives — not as an extensibility add-on bolted onto a closed system:
- Every published event is automatically an MCP server — zero configuration required, live in production today. Each event is reachable at its own address,
https://mcp.runevents.net/{event-slug}(with a separate demo environment athttps://mcp.runevents.ai/{event-slug}), and organizers can additionally expose an event under their own branded domain (e.g.mcp.your-event.com). Any external MCP-capable AI application — a customer's own enterprise AI assistant, a partner agent, an IDE assistant, a research tool — connects with zero friction and works with the event's live data: event information, the full agenda, sessions, speakers, ticket types with current prices, and sponsors and exhibitors with their products and services, including free-text search across agenda, sessions, and speakers. Public event metadata is openly readable; all other data is governed by the event's own API keys and the same permission claims that protect the run.events public API — no separate MCP provisioning, no exports, no synchronization: the endpoint answers with the same live data the event itself runs on. Conversational access to the event's EIC agents over MCP is the next expansion stage. - All 11 EIC agents have native A2A capabilities out-of-the-box, communicating with each other and with external A2A-compatible agents through the open Agent-to-Agent protocol.
- Model-Centric Programming is used for internal inter-agent orchestration, providing the runtime that lets agents coordinate on multi-step workflows.
This means EIC's MCP + A2A posture is not "we support these standards for extensibility if you build a compatible agent" — it is "the entire architecture is built on these open standards, and every event is automatically a participant in the agentic web."
Azure AutoML — dataset analytics flowing into every product
EIC includes Microsoft Azure Automated Machine Learning (AutoML) as a general-purpose ML capability that operates across every dataset in the platform:
- Survey responses of any type — session feedback, post-event evaluations, flash surveys, sponsor-branded surveys
- Behavioral data — session attendance, content engagement, booth visits, gamification activity, networking interactions
- Financial data — registrations, payments, refunds, sponsorship sales, bank reconciliation patterns
- Free-text, numeric, multi-choice, image, and time-series inputs of any shape
AutoML adapts its model selection to the dataset shape automatically, supporting multi-class classification, clustering, predictive modeling, trend analysis, feature importance, outcome prediction, and anomaly detection. This is materially broader than fixed-category sentiment classification — AutoML can derive multi-class taxonomies from free-text feedback, identify response clusters, predict no-shows or churn, surface what attributes drove specific outcomes, and adapt to the dataset shape automatically without manual model engineering.
AutoML powers the analytics layer across many run.events products — including (but not limited to) the surveys product, attendee analytics dashboards, sponsor lead analytics, check-in analytics, behavioral pattern reports, and AI-powered bank statement reconciliation in the Finances module. Privacy posture is enterprise-grade via Azure tenant isolation, GDPR-native, ISO 27001 certified.
Human-in-the-Loop (HITL) governance and EU AI Act compliance
- HITL controls available in every one of the 11 EIC agents. All AI-generated matchmaking suggestions (Attendee↔Attendee, Sponsor Spotting, Buyer Spotting, Product Spotting) can be reviewed and edited via interactive network diagrams before publishing to attendees or sponsors. AI-generated content (emails from Email Designer, pages from Page Builder, schedule recommendations from Personal Agenda Builder) is reviewable and editable before delivery. Content moderation queues route flagged items for human approval. Knowledge Agent / AI Support Agent escalates complex questions to human support.
- Full EU AI Act compatibility. One-click opt-in/opt-out per AI feature for attendees and other end users. Transparency disclosure on every AI surface explaining how recommendations are generated. Complete audit trails track all AI operations + data access for compliance reporting.
EU sovereignty and infrastructure
- EU-hosted infrastructure — all EIC operations run on European cloud infrastructure.
- Zero training on customer data — customer event data is never used to train foundation models.
- Zero US data transfers with the Mistral default; no CLOUD Act exposure.
- GDPR-native — data subject rights (access, export, deletion, portability) built into every data-touching surface; consent management at the AI-feature level.
- ISO 27001 certified for information security management.
- EU AI Act ready with transparency, per-feature opt-in/opt-out, and audit trail capabilities built into every agent.
- Real-time edge inference — no batch-processing latency; agents respond in real time as data flows through the platform.

Multi-Venue Events
For Event Organizers
For Event Organizers: Multi-Venue and Hybrid Event Support - Host events across multiple physical locations and online platforms simultaneously with flexible venue management. Add unlimited venues per event such as multiple conference hotels, satellite locations for side events, or distributed expo halls, with each venue featuring full address details, geographic coordinates for mapping, and independent room configuration. Designate one venue as the default location for event listings and marketing materials, while maintaining complete control over all locations with color-coded venue identification and custom sort ordering. Enable hybrid events by toggling physical and online modes independently, supporting fully in-person events, fully online events, or hybrid formats where sessions can occur in physical rooms at specific venues or in online rooms with virtual meeting links. Configure venue-specific rooms for each location, track attendance separately by venue, and provide attendees with clear venue information including maps, addresses, and directions integrated with Azure Maps for visual location display.
For Event Organizers: Comprehensive Venue Room Configuration - Define and manage all physical spaces within each venue with detailed room categorization and access control. Create rooms of multiple types including Session Rooms for presentations and workshops, Expo spaces for exhibitions and sponsor booths, Meeting Rooms for private discussions, Catering Rooms for dining areas, Organizer Offices for staff operations, Outdoor Rooms for open-air events, and Other custom space types to match your venue layout. Configure room capacity, seating arrangements, and technical specifications for each space, and link online rooms with virtual meeting URLs for hybrid sessions. For advanced access control scenarios such as association assemblies with voting requirements, configure door-level entrance tracking to monitor which attendees entered through which specific doors, enabling precise attendance verification and compliance with assembly governance rules where tracking individual door entry is legally required for voting eligibility.
Event Branding and Visual Identity
For Event Organizers
For Event Organizers: Complete Event Branding and Visual Identity - Customize every visual aspect of your event to match your brand identity across all platforms. Upload event logos displayed in registration forms, mobile apps, websites, and email communications, configure dual color schemes (primary and secondary colors) applied consistently throughout the event interface, add header images for event pages and portal backgrounds with optimized versions for different screen sizes, and set splash screen images for mobile app launch and event hub entry pages. All branding elements are stored centrally and automatically applied across run.events Mobile App, Smart Hub, registration pages, email templates, badges, digital signage, and web widgets, ensuring complete brand consistency throughout the attendee journey from registration through post-event communications.
For Event Organizers: Custom Email Infrastructure and Branding - Use your own email servers and branded sender addresses for all event communications instead of generic platform emails. Configure custom SMTP servers with your email infrastructure including host, port, username, password, and SSL settings, set custom sender email addresses and sender names reflecting your organization's identity, and manage multiple email provider configurations with the ability to designate a default provider. Support for API-based email services and traditional SMTP relay ensures compatibility with your existing email infrastructure, while maintaining complete control over sender reputation and deliverability, enabling emails to come from addresses like events@yourcompany.com rather than generic notification addresses.
Web-Widgets for the existing web sites
For Event Organizers
- For Event Organizers: run.events Web Widgets for integration in the existing web sites. For the event organizers who already have custom developed event sites, it is super easy to "embed" the data from run.events into their sites through run.events web widgets. run.events web widgets will try to take over the look and feel of the web site as much as possible by inheriting the styles of the event sites, but they can also be heavily manually styled to support exactly that look and feel that the event organizers need. The run.events web widgets include: run.events Registration Widget (for embedding event registration forms in the web sites), run.events Sessions Widget (for listing all sessions or subsets of sessions on the web site including session names, short descriptions, and spekaer names), run.events Single Session Widget (for displayng one single session in the web site, with its name, full description, speaker names, session categorization), run.events Speakers widget (for displaying all, or subset of spekaers in the web site, with speaker names, spekaer biographies, speaker acclamations, and the names of their sessions in the web site). run.events Agenda widget (for displaying tabular or linear agenda in the web sites with session names, speaker names, room names, and session times). run.events Sponsors Widget (For displaying all or a subset of sponsors, exhibitors, and prtners in the web sites with their logos, names, and sponsiorship level). run.events Single Sponsor Widget (for displaying one single sponsor, with all their information, description, download materials, assets, contact possibilities, people who will be on the booth etc in the web site). run.events FAQ Widget (for displaying FAQs in different languages, with all questions, answers, and files in the web site).
Global Attendee Profile
For Event Organizers
For Event Organizers: Global Attendee Profile — Unified Cross-Event Attendee Identity. run.events maintains a single persistent attendee record that lives across every event in an organizer's entire event portfolio. When an attendee registers for their first run.events-powered event, they get a Global Attendee Profile that becomes their unified identity across every future event the organizer runs on the platform. The profile holds the attendee's core identity (name, email, professional details, custom registration data they have shared) and accumulates a complete behavioral history across all events — every registration, every session they checked into, every piece of content they viewed, every exhibitor booth they visited, every survey they completed, every meeting they took, every networking connection they made, every giveaway they redeemed through gamification, every chat group they joined. When an attendee returns for the organizer's next event, organizers immediately recognize them as a returning attendee with full context: which past events they attended, what content interested them most, which sponsors they engaged with, how engaged they were overall. Registration forms can pre-fill from the prior profile, sponsors can target previously-engaged buyers, content recommendations can build on past session preferences, and personalized communications can reference past attendance — all without any manual data work by the organizer.
For Event Organizers: AI-Enriched Profile — Behavioral Intelligence That Compounds Across Events. The Global Attendee Profile is not just a passive identity record — it is continuously enriched by AI based on the attendee's behavior across all events. As cross-event behavioral data accumulates, run.events AI automatically derives a richer understanding of who the attendee is and what they care about. AI auto-derives buyer/seller/teacher/learner roles from registration data, content choices, and exhibitor interactions. AI discovers interests with confidence scores and trend signals (showing both what topics the attendee cares about and whether their interest in those topics is increasing or decreasing over time). AI applies custom tags, analyzes purchase intent, identifies content preferences, and enriches profiles with public-data career context (professional history, company details, organizational intelligence). The longer an attendee participates in events on the platform, the richer and more accurate their AI-enriched profile becomes — meaning the second event matchmaking and personalization is materially better than the first event's, and the third event's better still. This compounding intelligence directly drives matchmaking accuracy (attendee↔attendee, attendee→session, attendee↔sponsor, attendee→product, sponsor-to-attendee buyer spotting), personalized content recommendations, sponsor lead quality, and targeted marketing. Organizers running annual or quarterly recurring events see exponential value over time as their Global Attendee Profile data compounds.
For Event Organizers: Privacy and EU AI Act Compliance. The Global Attendee Profile and all AI enrichment are fully compliant with GDPR and the EU AI Act. Attendees have one-click opt-in/opt-out control over AI features and cross-event tracking, with complete transparency about what data is collected, how AI derives insights, and how recommendations are generated. Attendees can view their own profile, request data export, request profile deletion, and control which information is visible to other attendees and to sponsors (public vs private profile toggle). Complete audit trails track all AI operations and data access for compliance reporting.
For Attendees
- For Attendees: One Profile Across All run.events Events — Less Re-Registration, Better Recommendations. As an attendee, you create your run.events Global Attendee Profile once, and it works across every event on the run.events platform. When you register for a new event from the same organizer (or even from a different organizer using the platform, with your consent), you don't have to re-enter all your information from scratch — your profile pre-fills the registration form, your past preferences are remembered, and you immediately get personalized session and sponsor recommendations based on your interests and past behavior. Over time, as you attend more events, the platform learns more about what you care about and surfaces more relevant content, sessions, and people to connect with. You retain full control: one-click privacy toggles let you control what is shared with which event organizers, what information is visible to other attendees, and whether AI features apply to your profile. Full EU AI Act and GDPR compliance means complete transparency about how your data is used and how recommendations are generated.
Connectivity
run.events Public Facing API
- For Event Organizers and Developers: run.events Public Facing API - Integrate run.events with your own systems, websites, and applications through the platform's public REST API. The API provides programmatic, JSON-based access to event data — event information, sessions and the full agenda, speakers, ticket types with current prices, and sponsors and exhibitors with their products and services, including free-text search endpoints — secured through event-level API keys with granular permission claims, so each integration receives access to exactly the data areas it needs (agenda, speakers, tickets, partners) and nothing more. API keys are issued per event in run.events under Event Configuration → API keys, dedicated key types support platform-level integrations and on-site kiosk devices, and cleanly separated demo and production environments let integrations be developed and tested safely before going live. The complete, always-current interactive API reference is available at https://modesty.runevents.net/swagger, where every endpoint can be explored and tried directly in the browser.
run.events MCP Server
- For Event Organizers: Every Event Is Automatically an MCP Server - Every published run.events event is automatically a Model Context Protocol (MCP) server, with zero configuration and nothing to install: AI assistants such as Mistral, Claude, and ChatGPT, enterprise AI agents, and IDE assistants connect directly to your event and query its live data. Each event is reachable at its own address (https://mcp.runevents.net/{event-slug}, with a separate demo environment at https://mcp.runevents.ai/{event-slug}), and events can additionally be exposed under your own branded domain such as mcp.your-event.com. Connected assistants retrieve event information, the full agenda, sessions, speakers, ticket types with current prices, and sponsors and exhibitors with their products and services, and run free-text searches across agenda, sessions, and speakers — always against the same live data the event runs on, never an export or a copy. Public event metadata is openly readable, while all other data areas are protected by the event's own API keys with the same granular permission claims that secure the public API, so organizers control exactly what AI applications can see. Opening an event's MCP address in a normal web browser shows a human-readable page describing the endpoint and how to connect, and the capability as a whole makes every run.events event a first-class participant in the agentic web — discoverable and usable by the AI assistants your attendees, sponsors, and partners already work with.
run.events Audience Management
Ticketing
For Event Organizers
For Event Organizers: Unlimited Ticket Types, Add-Ons, and Options - Create unlimited ticket types per event to support any registration scenario from simple conferences to complex multi-track events with diverse attendee categories. Configure each ticket type independently with attendee role assignment (Participant, Speaker, Sponsor, Organizer, Support Staff), pricing models (paid or free), validity periods with start and end dates, quantity limits with maximum purchases per event and per customer (configurable minimum purchase requirements), and visibility controls for public or private ticket sales. Add flexible add-ons that can be attached to multiple ticket types, such as workshop registrations, meal packages, accommodation upgrades, or merchandise, each with independent pricing, availability windows, and quantity restrictions. Create ticket options for binary choices within ticket types, enabling attendees to customize their registration with selections like dietary preferences, t-shirt sizes, or session track choices, all tracked with quantity limits and sort ordering for organized presentation.
For Event Organizers: Custom Registration Forms with 16 Field Types - Build completely customized registration forms per ticket type and participant category to collect exactly the data your event requires. Choose from 16 field types including text (single-line), long text (multi-line), integers, decimals, date/time pickers, boolean checkboxes, country selectors, language selectors, industry dropdowns, single-choice radio buttons, multi-select dropdowns, checkbox groups, chip/tag selections, rating widgets, file uploads (with file type and size restrictions), and image uploads (with dimension constraints). Configure each field with labels, descriptions, required/optional flags, visibility controls (show to sponsors, display in web and mobile), custom list values for dropdown/checkbox fields, and sort ordering. Create different form configurations for different ticket types, enabling basic forms for general attendees while collecting detailed professional information from VIP attendees, speakers, or sponsors, with all data stored per ticket for comprehensive attendee profiling.
For Event Organizers: Advanced Time-Based Pricing and Quantity Discounts - Maximize revenue with sophisticated pricing strategies including multiple price tiers per ticket type based on purchase timing. Create unlimited price ranges with custom names (Early Bird, Super Early Bird, Regular, Late Registration), start and end dates with UTC timezone support for global events, and different prices for each period with primary and secondary currency support for dual-currency display. Configure automatic price switching based on current date, set voucher compatibility per price range, and add internal notes for tracking pricing strategy. Implement quantity discounts with configurable minimum quantity thresholds and discount percentages (buy 10+ tickets, receive 15% off), with the option to allow or restrict combination with voucher codes for flexible or controlled discount stacking, incentivizing group registrations while maintaining pricing control.
For Event Organizers: Enterprise Tax Configuration with Global Compliance - Manage complex tax scenarios across jurisdictions with support for four tax schemes including Value Added Tax (VAT), Goods and Services Tax (GST), Sales Tax, and Local Tax. Configure multiple tax rates per event with customizable percentages, invoice text notes (such as "Reverse charge applies"), and granular applicability rules distinguishing between private (B2C) and corporate (B2B) transactions, tax-exempt versus taxable corporate customers, and separate rules for tickets versus sponsorships. Implement EU VAT reverse charge compliance automatically based on customer type and location, apply tax rules to all countries or specific country lists (such as EU member states), and assign different tax rules per ticket type with priority ordering when multiple rules could apply. Support for both domestic and cross-border taxation scenarios ensures compliance with tax regulations across continents, with automatic tax calculation during checkout and proper e-invoice generation with embedded tax details.
For Event Organizers: Differentiated Badge Designs per Ticket Type - Create distinct badge designs for different attendee categories to enable instant visual identification and access control. Assign multiple badge designs per ticket type with default selection, configure separate badge layouts for speakers, sponsors, VIP attendees, exhibitors, organizers, and general participants using the visual badge designer with dynamic fields, and customize badge content to display ticket type names, add-on indicators, and custom registration field data. Design badges with custom dimensions for different badge holder sizes, create two-sided badges with front and back content, support multi-page badges (up to 4 pages) for fan-fold printers, enable print-at-home badge options for pre-event printing, and automatically populate badge fields with attendee data including names, companies, job titles, countries, profile photos, QR codes, and custom branding elements, ensuring each attendee category receives appropriately styled credentials that clearly communicate their role and entitlements at the event.
For Event Organizers: Multiple Payment Methods and Providers - Accept payments through integrated payment providers including Stripe for credit/debit cards with Apple Pay and Google Pay support, manual bank transfer with customizable payment instructions, regional providers for localized processing. Enable multiple payment methods simultaneously per event with custom sort ordering for payment option priority, configure provider-specific settings for each payment gateway, track payment status through comprehensive states (Started, Pending, Completed, Failed, Underpaid, Overpaid), process webhook notifications for automatic payment confirmation, support partial payments and balance reconciliation, manage multi-currency transactions with currency conversion, and provide attendees with flexible payment choices that match their preferences and geographic location, reducing payment friction and increasing successful registration completion rates.
For Event Organizers: Legal Compliance and Registration Agreements - Ensure legal compliance by requiring attendees to agree to event-specific legal documents during registration. Upload and manage registration agreements, Terms of Service, Data Privacy statements, and custom legal documents, create document versions with upload date tracking for audit trails, configure agreement requirements for different registration contexts (ticket purchases, speaker registration, organizer account creation, paid versus free events), and provide multilingual legal documents matching event language support for international attendees. Display legal documents during checkout with mandatory agreement checkboxes, track consent with stored agreements linked to user profiles for compliance verification, maintain complete legal audit trails showing which attendees agreed to which document versions and when, and update legal documents per event or organizer level to ensure registration processes meet GDPR, privacy regulations, and contractual requirements across all jurisdictions where your events operate.
For Event Organizers: Comprehensive Ticket Management and Financial Document Access - Browse and manage all tickets with powerful search and filtering capabilities including full-text search across ticket fields, status filtering (Issued, Paid, Refunded, Cancelled, Underpaid, Overpaid, Refund Requested, Cancellation Requested), ticket type filtering with multi-select, customer and assigned attendee filtering, country and geographic filtering, voucher code filtering, date range filtering for purchase dates, payment status filtering, assignment status filtering (Unassigned, Invited, Configured, Fully Configured), badge issuance status filtering, and custom field value filtering for any registration form field. View comprehensive ticket data including ticket numbers, badge numbers, customer details, assigned attendee information, company names, job titles, purchase history with timestamps, custom field responses, applied vouchers, tax calculations with rates and amounts, total and discounted prices, payment status indicators, and marketing attribution data with UTM tracking (campaign, medium, content, provider). Access financial documents directly from ticket records including invoices with PDF download, invoice corrections and cancellation documents, refund documentation, receipts, and fiscalization receipts with QR codes for tax compliance, providing complete visibility into ticket lifecycle and financial transactions for accounting, reporting, and customer support purposes.
For Event Organizers: Badge Issuance Tracking and Invalidation Management - Track complete badge lifecycle for every ticket with detailed issuance and invalidation history. View badge issuance status showing whether badges have been printed or issued, see badge numbers assigned to each ticket for tracking and security, identify who created each badge with operator identification and timestamp tracking, monitor badge printing locations (registration desk, support desk, kiosk, or print-at-home), and access complete badge history per ticket showing original badge creation and all subsequent reprints. Manage badge invalidation with reason tracking when badges are lost, stolen, damaged, or require replacement due to attendee information changes, record who invalidated each badge with exact timestamps and detailed invalidation reasons for audit compliance, issue replacement badges with new unique badge numbers while maintaining linkage to original tickets, and view badge replacement chains showing the complete sequence from original badge through all replacements, ensuring security through immediate access revocation of invalidated badges while maintaining full accountability and traceability throughout the badge lifecycle for compliance, security incident investigation, and operational excellence.
For Attendees
For Attendees: Professional Branded Registration Experience - Register for events through modern, fully branded registration forms designed specifically for high-profile professional and enterprise events. Experience seamless branded design with event logos, custom primary and secondary colors applied through CSS theme variables, custom fonts matching organizer branding, and clean modern layouts built with Angular Material components that eliminate generic template aesthetics. Navigate intuitive multi-step checkout flows including ticket selection and payment processing. Enjoy fully responsive design optimized for smartphones, tablets, and desktops ensuring flawless registration on any device. Registration forms integrate directly with on-site check-in systems through badge generation and print-at-home capabilities, creating efficiency from initial registration through event entry.
For Attendees: Simple and easy Ticket Cancellation and Refund Requests - Request ticket cancellations and refunds through a streamlined self-service process from your personal ticket dashboard. Receive automated email notifications when organizers review your request, track cancellation status through your dashboard with visual status indicators and color-coded states, and access cancellation documents with PDF downloads once approved. Cancellation requests require organizer approval to ensure proper financial reconciliation and compliance.
For Attendees: Group Registration with Flexible Late Assignment - Purchase multiple tickets upfront during early bird pricing periods without knowing final attendee names, then assign tickets to actual attendees later when you confirm who will attend. Return later through your ticket dashboard to assign each ticket to specific attendees by filling in names, email addresses, and registration information. This flexibility enables organizations to secure early bird pricing for teams before travel approvals are finalized, eliminates the pressure to provide complete attendee lists during purchase, and supports common corporate purchasing workflows where ticket allocation decisions happen weeks or months after initial purchase.
For Attendees: Self-Service Ticket Transfer and Reassignment - Reassign purchased and paid tickets to different attendees at any time through your personal ticket dashboard when plans change or different people need to attend. Access your tickets dashboard, select the ticket you want to reassign, and update attendee information including name, email address. The reassignment capability is controlled per ticket type, allowing organizers to enable flexible reassignment for general admission tickets while restricting transfers for special ticket categories like speaker passes or sponsor credentials that should remain with designated individuals. Reassigned tickets immediately reflect the new attendee information in organizer systems, trigger email notifications to both the previous and new ticket holders if configured, update badge generation to reflect the correct attendee name and details. This self-service flexibility eliminates the need to contact organizers for name changes due to personnel changes, travel restrictions, or last-minute substitutions, while still giving organizers control over which ticket types permit reassignment to maintain event security and attendee verification requirements.
For Attendees: Quick and easy ticket purchase flow - Complete ticket purchase and payment quickly without filling extensive registration forms upfront, then personalize tickets with detailed information later at your convenience. Experience streamlined quick registration where you select tickets, provide minimal customer information, and complete payment in minutes, with full ticket personalization as a separate subsequent step accessible through your ticket dashboard. This separation enables rapid checkout during high-traffic registration periods, reduces cart abandonment by minimizing form friction, allows you to secure tickets immediately and complete detailed forms when you have more time, and supports scenarios where payment authorization and attendee information collection must happen at different times for organizational or approval reasons. Incomplete tickets are tracked through dedicated status management, with reminders and easy access to complete personalization before event deadlines, ensuring organizers eventually collect all required attendee data while maximizing initial conversion rates through reduced checkout complexity.
For Attendees: Group Purchase Delegation and Management Transfer - Transfer group ticket management rights to colleagues who will actually attend the event, enabling organizational purchasing workflows where buyers and attendees are different people. Imagine this common scenario: someone from the purchasing department purchases 10 tickets during early bird pricing to secure the discount, then delegates group management rights to the department head who will attend the event and knows which team members should receive tickets. The delegation system maintains the original purchase linkage for financial and audit purposes while transferring assignment permissions including ticket assignment rights, attendee information management, cancellation request abilities, and dashboard access to view and modify group tickets. This separation of purchasing authority from attendance management reflects real corporate workflows where procurement teams handle financial transactions while department managers handle personnel logistics, eliminating the need for purchasing staff to chase down attendee details they don't have access to and empowering event attendees to self-manage ticket assignments within their purchased group allocation.
For Attendees: Comprehensive Event Hub and Personal Dashboard - Access your centralized event hub providing 360-degree event visibility and participation tools beyond basic registration. Navigate through configurable menu sections including Event Home, Event Info, FAQ, Speakers, Sessions, Agenda, Sponsors, Contact Us, and My Agenda, with section visibility controlled by organizers to match event structure. Browse the complete event agenda with filtering by tracks, rooms, speakers, and session types, build your personal agenda by favoriting sessions you plan to attend, and view your customized schedule separate from the full event program. Explore the sponsor directory to discover exhibitors and partners, view detailed sponsor profiles with company information and offerings, and request one-on-one meetings with sponsor representatives by browsing their available meeting slots or proposing custom meeting times and locations. Manage your tickets with real-time status tracking, access session check-in capabilities for tracking attendance, complete event surveys and feedback forms, and connect with other attendees through event networking features. For hybrid events, access online session participation tools integrated directly into your event hub, enabling virtual attendance alongside physical event features in one unified experience designed to maximize event value before, during, and after the conference.

Filter survey analytics by sponsorship to generate sponsor-specific response reports, measure completion rates per sponsor, and provide partners with documented engagement metrics that justify sponsorship investment. Monitor group activity through integrated moderation tools showing message counts, active members, and recent conversations to identify high-engagement topics worth promoting. Leverage groups for strategic purposes like creating speaker networking lounges, sponsor-hosted product discussion forums, industry-specific professional networks, or regional attendee meetup coordination channels. FAQs
For Event Organizers
For Event Organizers: Comprehensive FAQ Management System - run.events enables event organizers to create and manage multiple FAQ sections tailored to different audience types. Whether you need separate FAQs for general attendees, speakers, sponsors or exhibitors, you can easily create dedicated FAQ sections for each group. Each FAQ section can be designated as the default for its audience type, ensuring that attendees always see the most relevant information when they visit your event portal or mobile app. Event organizers can organize FAQs with custom ordering, making it easy to prioritize the most important questions at the top.
For Event Organizers: Multilingual FAQ Support with Easy Translation Management - In today's global events, multilingual support is not optional—it's essential. run.events FAQ system is fully multilingual, allowing event organizers to create FAQs in multiple languages simultaneously. For each FAQ section, you define a primary language, and then you can easily add translations for all other event languages. This ensures that German-speaking attendees, French-speaking sponsors, and English-speaking speakers all get the same comprehensive information in their preferred language.
For Event Organizers: Rich FAQ Content with Images, File Attachments, and Links - run.events FAQs go far beyond simple text-based question-and-answer pairs. For each FAQ answer, event organizers can add supporting images to provide visual context, attach multiple downloadable files (such as PDFs, guides, forms, or documentation), and include links to external resources or web pages. This makes FAQs a powerful knowledge base where attendees can not only read answers but also download essential documents, view visual guides, and access related online resources—all from one convenient location. Whether it's a venue map, a registration form, a tax document, or a link to your hotel booking portal, you can attach it directly to the relevant FAQ answer.
For Event Organizers: Smart Search and Filtering for Easy FAQ Discovery - As your event FAQ library grows, finding the right information quickly becomes critical. run.events provides powerful search and filtering capabilities that allow both event organizers and attendees to instantly find the information they need. Organizers can search through all FAQs and questions by keywords, filter by audience type or language, and quickly locate specific content for editing. For attendees, the FAQ widget and portal pages include smart search that looks through question text and answer content, making it effortless to find answers even in extensive FAQ collections with hundreds of questions.
For Event Organizers: FAQ Embeddable Web Widgets for Your Event Website - If you have a custom-built event website, run.events makes it incredibly easy to integrate your FAQs into your existing site through embeddable web widgets. The run.events FAQ widget can be embedded in any web page with just a few lines of code, and it automatically inherits your website's styling to maintain a consistent look and feel. You can configure the widget to display specific FAQ sections, choose the language, control which questions are expanded by default, and even filter by audience type. This means you maintain full control over your event website's design while leveraging run.events' powerful FAQ management capabilities behind the scenes.
For Attendees
- For Attendees: Easy-to-Navigate FAQs in Event Portal and Mobile App - Attendees can access comprehensive, role-specific FAQs directly from the event portal and the run.events mobile app. The FAQs are presented in an elegant accordion-style interface where questions can be expanded with a single click to reveal detailed answers, supporting images, and downloadable resources. Attendees can choose their preferred language, search for specific topics, and use "Expand All" / "Collapse All" features for quick browsing. Whether they're looking for information about registration, venue access, speaker schedules, or sponsor booths, attendees find answers quickly without having to contact event support, reducing organizer workload and improving attendee satisfaction.
Email Messages
For Event Organizers
For Event Organizers: AI-Powered Email Designer - Creating beautiful, professional-looking HTML emails has never been easier. run.events revolutionizes email design with its fully AI-powered email designer that allows you to create stunning, branded email designs simply by describing what you want. Just tell the AI what kind of email you need: "Create a welcome email for attendees with our event logo, a warm greeting, key event dates, and a call-to-action button to complete registration" or "Design a sponsor thank-you email with a professional header, sponsor logo placement, and social media links." The AI instantly generates a complete, professional email design that matches your event's branding, colors, and style. You can then refine the design through natural conversation: "Make the header image larger," "Change the button color to purple," "Add a section for speaker highlights." If you know how to use ChatGPT, you know how to create professional email designs with run.events. For users who prefer hands-on control, the platform also includes a visual drag-and-drop editor with pre-built components (headers, text blocks, images, buttons, social media links, footers) that can be customized with your branding, and even supports custom HTML and CSS code blocks for advanced users. Whether you're prompting the AI or using the visual editor, creating professional event communications has never been faster or easier.
For Event Organizers: Email Design Templates Library - Build Once, Reuse Forever. One of the most powerful features of run.events email design system is the two-tier template library. At the event level, you can create and save multiple email designs specific to that event—welcome emails, reminder emails, post-event thank-you emails, etc. But the real power comes at the organizer level: any email design you create can be saved as an organizer-level template, making it instantly available across all your future events. This means that if you create a beautiful welcome email design for your spring conference, you can reuse that same design (with appropriate modifications) for your fall summit, winter workshop, and any other event you organize. Over time, you build a comprehensive library of professional email templates that dramatically reduces the time and effort needed to create event communications. Templates can be organized by recipient type (ticket owners, speakers, sponsors, etc.), making it easy to find the right starting point for each communication need.
For Event Organizers: Audience-Specific Email Designs - Not all event emails should look the same. An email to general attendees should have a different tone and design than an email to VIP sponsors or keynote speakers. run.events email design system recognizes this by allowing you to categorize each email design by recipient type: Ticket Owners, Speakers, Session Owners, or Sponsor Staff. Each recipient type is color-coded for easy visual organization, making it simple to manage multiple email designs even for complex events with many different audience segments. When you create a new email design, you select the intended recipient type, and the system automatically suggests relevant templates from your library. This audience-specific approach ensures that each stakeholder group receives communications that are appropriately styled and branded for their relationship with your event.
For Event Organizers: Seamless Integration with Event Asset Gallery - Professional email designs often require custom images—event logos, venue photos, speaker headshots, sponsor logos, background images, and more. run.events email designer seamlessly integrates with your event's asset gallery, allowing you to access all your uploaded event images directly from within the email editor. Simply double-click or drag-and-drop to open the image gallery, select the image you need, and it's instantly inserted into your email design. Images are stored in secure cloud storage and automatically optimized for email delivery. This integration means you never have to juggle multiple tools or worry about image hosting—everything is managed within the run.events platform, with all your event assets available at your fingertips whenever you're designing an email.
For Event Organizers: Email Design Duplication and Iteration - Event communications often follow similar patterns with small variations. You might need to send three reminder emails with slightly different content but the same overall design, or create multiple sponsor communications with consistent branding but different messaging. run.events makes this incredibly efficient with one-click email design duplication. Select any existing email design and duplicate it instantly, creating a perfect copy that you can then modify as needed. This feature dramatically speeds up your email creation workflow, allowing you to iterate quickly on successful designs rather than starting from scratch each time. Combined with the ability to edit design metadata (name, description, recipient type) separately from the visual content, you have complete flexibility to organize and evolve your email communications throughout your event lifecycle.
For Event Organizers: From Design to Delivery - When you're ready to send your beautifully designed email, the process is seamless. Select your email design from your library, and run.events automatically renders it as a complete, email-client-compatible HTML message with embedded CSS styling. The system handles all the technical complexities of email rendering—ensuring that your design looks great in Gmail, Outlook, Apple Mail, and other email clients. Your design content is stored efficiently as structured data (HTML and CSS components), making it portable, version-controllable, and future-proof. Whether you're sending to a small group of VIP speakers or broadcasting to thousands of attendees, your custom-designed emails maintain their professional appearance and branding across all recipient email clients.
For Event Organizers: Context-Aware Email Sending Throughout the Platform - Once you've created your email designs, they become available throughout the entire run.events platform wherever you need to communicate with event stakeholders. This means you don't have to navigate back to a central email center every time you want to send a message—your beautifully designed emails are accessible right where you're working. Managing tickets and need to send payment reminders to specific ticket holders? Your email designs are right there in ticket management. Reviewing speaker submissions and want to send acceptance notifications? Your speaker-specific email designs are available directly in speaker management. Working with sponsors and need to send booth assignment confirmations? Your sponsor email designs are ready in sponsor management. The same applies to attendee management, session management, and every other area of the platform. This contextual integration means you can select the relevant contacts, choose your email design, personalize the message if needed, and send—all without leaving your current workflow. It's email communication that fits naturally into how you actually work, not a separate system you have to jump to every time you need to reach out to event stakeholders.

Preview configurations before publishing, manage content separately from structure through reusable banner and link sets, and support multiple languages by creating separate setups per language with automatic selection based on user preferences. Configure language-specific setups automatically selected based on user language preferences, ensuring German-speaking attendees see German interface while English speakers see English content without manual switching. Set active date ranges per setup to automatically transition app content between pre-event promotion mode, live event operation mode, and post-event community mode without manual configuration changes. Gamification
For Event Organizers
For event organizers: run.events Gamifiction is an proven way to increse event engagement, to bring attendees to the sponsr and expo booths, and to increase session attendance. The principle is simple: Event organizers set up a virtual "currency", aka "coins", which they can name however they want. Organizers can set up the initial number of coins each attendee will have. Then they set up the rules, which activity brings how much coins to the attendees who are participating. Typical activities are expo booth visits, session attending, booth/expo session attending, filling out session feedback forms, completing surveys, connecting with other attendees, creating side events, etc. Organizers can set the rules how much coins each of those activities bring. Coins are then spent on giveaways, regardless if from organizers, or from partners/sponsors/exhibitors. Organizers can decide to make the coffee not free, but that it costs some small amount of coins. Giveaways on the sponsor booths can be made to be "purchasable" for coins - so a giveaway t-shirt, or a giveaway pen can cost a small amoint of coins. This is then the incentive for attendees to actually do stuff which they are otherwise reluctant to do, such as completing surveys or rating sessions. Event organizers, as well as sponsors/exhibitors can have giveaways listed in the mobile app and on the event web site, which then motivates the attendees to look what is at which booth and to have that as inspiration to visit that booth and to engage in the conversation.
For Event Organizers: Comprehensive Giveaway Inventory and Transaction Management - Manage complete swag inventory with detailed tracking of quantities available, items already distributed, and real-time redemption monitoring for every giveaway offered by organizers and sponsors. Configure each giveaway with custom pricing in coins, quantity limits, per-user redemption caps, sponsor attribution, product images, and active/inactive status to control availability dynamically throughout the event. Track every coin transaction with detailed logs showing timestamp, attendee, company, giveaway redeemed, and coin amount spent, plus complete earning history showing which activities generated coins, when coins were awarded, and detailed activity descriptions with session names or booth identifiers. Access comprehensive leaderboards displaying attendee rankings by total coins earned and current balance, filter by country, export to Excel for analysis, and identify top performers to award prizes, recognize engagement leaders, or invite highly active attendees to exclusive experiences. Transform gamification from simple point collection into strategic business intelligence revealing which activities drive engagement, which giveaways attract attention, and which attendees demonstrate highest event investment.

- For Attendees: Personal Gamification Dashboard with Real-Time Balance and Rankings - View your current coin balance, complete earning history showing every activity that generated coins with timestamps and descriptions, and spending history displaying all giveaways redeemed with purchase details directly in the mobile app. Access interactive leaderboards showing your current ranking among all attendees, see top performers and their coin totals, compare your engagement level against other participants, and track your position changes throughout the event. Browse available giveaways with product images, descriptions, coin prices, sponsor information, and quantity remaining, then redeem items instantly by spending earned coins with transactions recorded immediately in your spending history. Monitor your gamification journey through detailed progression tracking showing how you earned coins through session attendance, booth visits, survey completions, feedback submissions, or networking activities. AI Site Builder
For Event Organizers
For Event Organizers: an AI-Powered Web Site Builder. Previously, creating an event web site often meant engaging an external web agency, or spinning a WordPress web site with some "easy-to-use" web builder. Both approaches were suboptimal: engaging an external web agency would usually mean significant time and money investments, where each change would mean another delay and another waiting for things to happen. Using WordPress with "easy-to-use" page builders would inevitably mean constrains and quality compromises. With run.events Pages this changes dramatically: run.events Pages already "knows" how your event web site should be - what are main design elements such as colors, logos, and headers, what is the event about, what are the ticket types you are offering your attendees for registration, what is event agenda, speakers, sponsors, etc. You can then start prompting your web site: be it creation of "typical" event web pages, such as registration pages, agenda pages, spekaer pages, sponsor pages etc, or information pages (about event, venue page, etc), event "dashboards" that figure as the home page, or any custom page you might come up with. And all that you need are prompting skills: if you know how to use ChatGPT, you will know how to create a web page. Of course, run.events Pages also offers a powerful HTML editors, both visual and code editors, for smaller changes, or for the people who can wrangle CSS and HTML, but the primary intended use is the AI and prompting the web page. The results are visually stunning, beautiful and informative web pages which can be immediately published from run.events. To that, run.events Pages offers the AI-powered translation and publishing of multi-lingual web sites, as well as media management (central repository of images and videos) and documents and downloads management (central repository of documents which will be available for download from the web site). All web sites created with run.events Pages are of course automatically made in accordance with the latest accessibility standards (WCAG 2.2). This has been done in a great detail, for example, each time an image is uploaed to run.events Pages media manager, that image is read and described by AI, so that it is ensured that all the elements needed for the WCAG 2.2. and accessibility are immediately fulfilled. run.events Pages are by default responsove and that way easily browsable on the mobile phones and similar smaller form factor devices.
For Event Organizers: AI-Powered SEO and GEO (Generative Engine Optimization). Every page that run.events Pages generates is natively optimized for discovery out of the box — there is no separate SEO plugin to install and no meta tags to hand-write. The AI automatically produces the SEO essentials for each page (page titles, meta descriptions, and clean, human- and search-friendly URL slugs) and keeps them consistent with the event's actual content. Beyond classic search engines, run.events Pages also applies GEO — Generative Engine Optimization — structuring and tuning page content so that the event is discoverable by, and well represented in, AI/LLM-powered search and answer engines (increasingly how attendees find events through AI assistants), not only traditional Google/Bing crawlers. Because pages are generated from the live event data model, this optimization stays current automatically as the agenda, speakers, and sponsors change, and sites publish to your own branded custom domain.
For Event Organizers: Native Web Analytics for Your Event Site. run.events Pages and Smart Hub sites include built-in web analytics, so organizers can see how their event website is actually performing without bolting on a third-party analytics product: page views, where visitors come from, and how they engage with the content. This sits alongside run.events' precision marketing attribution (automatic UTM capture all the way down to the individual ticket) and content/video engagement metrics, giving organizers one native, end-to-end view of the funnel from the first page visit through registration and on into on-site engagement.
run.events Events CRM
Partner Management
For Event Organizers
For Event Organizers: Manage all kinds of Partners across all events (customers, exhibitors, service providers...). Many event organizers work with the same companies over and over, from event to event. Be it customers, who are coming to their events as attenees, or the exhibitors who are coming year after year, or different service providers such as booth builders, caterers, tech providers, all to media and press. run.events Event CRM enables event organizers to manage the central registry of those partners on the organizational level, and then to "reuse" them from event to event. They can manage their information, their contacts, and have the "log" of the interactions that are related to that partner. Also, it is possible to assign people on event organizer's level who will be managing that partner.
For Event Organizers: Manage partner’s staff/contacts - it is possible for the event organizers to manage people that work with those partners. For each person it is possible to track their position within the partner, their roles, their contacts, and who from the event organizer's team is "in charge" of being that person's main contact.
For Event Organizers: Send and track email campaigns for customers, sponsors, exhibitors. Event organizers can easily select partners, or target specific contacts within the partners, by using advanced filters, and send them emails. Those can be either plain text emails, or rich HTML emails that look more like newsletters. Event Organizers can also track which partner or partner contact has got which email.
Sponsorship Catalog
For Event Organizers
For Event Organizers: Create Sponsorships’ Offer/Service Catalog for the Event. On the event level, organizers can decide what is the offer / the service catalog they want to offer to sponsors and exhibitors. It might be physical spaces such as booths, or kiosks, or launchpads, or coffe bikes, or whatever that is positioned on the venue map, but those can also be non-physical-space offers such as lunch sponsorships, bag inserts, sessions, or whatever the subject of the sponsorship might be. Then, event organizers can combine those items into sponsor/exhibitor packages, and say, for example that a "Platinum package" might contain a 6m x 3m booth space, bag insert, a event magazine advert, and a 30 min expo floor session.
For Event Organizers: Define custom sponsorship levels and benefits - beyond sponsoring catalog and sponsoring packages, organizers can define levels and benefits that come with each level, and assign the sponsir to those levels. For example, we can have a level "gold" which includes a gold sponsorship package and 5 complementary event tickets. The sponsors/exhibitors will be listed in the web site and in the mobile app under those levels. Also, one sponsor can have multiple levels, they can for example be a "Premium" level sponsor, but also sponsor the main event party and be the "Party Sponsor" level. In this case, if the event organizers wish so, that sponsor will be listed twice in the web site and mobile app, once under "Platinum" and once under "Party sponsor" levels.
Sponsorship salses lifecycle
For Event Organizers
For Event Organizers: Define custom sponsors/exhibitors sales lifecycle. run.events Events CRM enables organizers to defines custom sales and onboarding cycles for sponsors and exhibitors. For example, standard sales cycle might be intitial consideration -> negotiation -> closed (contract signed) - or - decilined. However, event organizers can define custom sales cycle steps such as "initial negotiation", "hot lead", "stalled", "need more info" etc.
For Event Organizers: Manage Sponsors’ / Exhibitors’ Sales and Onboarding Lifecycle. run.events Events CRM offers an intuitive Kanban interface for managint sponsors and exhibitors sales and onboarding cycle. They can easily drang and drop sponsors from one sales phase into another one, leave comments, and manage the whole sales process. This way, event organizers are always in the know what they need to do with each sponsor, and what are the next impending tasks for each of the sponsors.
For Event Organizers: Manage contracts for sponsors and exhibitors - the event organizers can manage contracts for each sponsor, where also contracts have their own lifecycle statuses (Draft, Reserved, Signature Pending, Signed...). It is important because organizers can manage all their sponsorship and partnership contracts at one place, but also because they can track sponsors from year to year, from edition to edition, and see how sponsorship/partnership relations are being developed with each partner over the time.
Sponsor / exhibitor staff onboarding
For Event Organizers
- For Event Organizers: Manage and onboard exhibitor staff. Issue tickets and assign permissions. In run.events Events CRM, event organizers can easily manage and communicate with sponsors' and exhibitors' staff. They can track the participation of each of them, who is joining at the event, and who will be participating from sponsors/exhibitors side from the background without actually coming to the event. The typical scenario is that the marketing people are involved in the beginning, but potentially not joining the event, and then the sales people actually join the event. Event Organizers can easily set all of that, and assign different roles to different sponsors'/exhibitors' staff: who can collect and manage leads, who can manage tasks that are assigned to that sponsor/exhibitor, who from exhibitor's side can configure, manage, and purchase their booth and booth equipment etc. In the same way, event organizers can easily assign tickets to sponsors'/exhibitors' staff (but that's also something that sponsors and exhibitors can do in the self-service).
Sponsor / exhibitor tasks and work management
For Event Organizers
- For Event Organizers: Create and manage tasks for partners and exhibitors. Event organizers can easily create tasks for the sponsors and exhibitors. Those can be tasks for the individual sponsors and exhibitors, but also for categories: a tasks can be assigned to all sponsors with a specific level (e.g. gold sponsors), or to all sponsors and exhibitors which have purchased speficic service within their contracts (e.g. all sponsors who have a bag insert). Even if task has been assigned to a sponsor as a group task, managing the execution of each of those tasks is sponsor-specific. Event organizers can easily track and change the task progress for each task, but also the sponsors can change the task status from their own interface. Sponsors and exhibitors use chat interface to communicate about task status and task execution. Exhibitors have an easy and intuitive overviews over task completion, pending tasks, overdue tasks, and many more criteria.
Lead Retrieval
For Event Organizers
- For Event Organizers: Insights into sponsor’s/exhibitor’s lead retrieval. Sponsors and exhibitors can manage their lead retrieval processes, as well as manage, qualify and export their leads in the self-service sponsors dashboard. However, sometimes sponsors and exhibitors request from the event organizers to send them the list of the retrieved leads per email, mostly in Excel or CSV formats. Event organizers can easily have access to the scanned leads of each sponsor or exhibitor and download them in the excel or CSV format, und thas fulfill requests from the sponsors.
Asset Management
For Event Organizers
- For Event Organizers: Managing exhibitors’ contacts, downloadable assets, and products and services info. Sponsors and exhibitors can manage their downloadable assets, such as brochures, PDFs or other materials (if their sponsorship level entitles them to that) , as well as maintain information about their products and services (also, if their sponsorship level entitles them to that) in the self-service sponsor dashboard. However, the event organizers can have insights in what sponsors and exhibitors have uploaded, and event organizers can change and manage that information if necessary. This is also useful if sponsors and exhibitors for whatever reasons ask event organizers to upload and maintain this information for them, this feature enables organizers to do so.
Self-service Sponsors and Exhibitor Dashboard
For Sponsors and Exhibitors
For Sponsors and Exhibitors - Self-service Sponsors Dashboard: Self-Service Team Management and Ticket Assignment. Sponsors' representatives can in self-service manage their own team: invite people who will join the booth crew at the event, and the people who will work on the event from the backstage. Sponsors representatives can manage in self-service who from their will get the event complementary tickets (or who will get which event ticket, if there are multiple ticket types / levels available to sponsors and exheibitors), and who will have which permissions, such as lead retrieval, lead retrieval configuration, and lead retrieval exporting, or booth purchasing, booth furniture purchasing, and booth configuration, who will be in charge into managing and closing tasks from the sponsor's side, who gets all the info and notification emails from the event organizers etc.
For Sponsors and Exhibitors - Self-service Sponsors Dashboard: Logo and Public Info Editing - Sponsors and Exhibitors can, in their own self-service sponsor dashboard, upload and maintain their information such as public description, logo, and contact information (phone, email, linkedin, addresses etc). That way they can always be on the sure that the latest and and most accurate information is on the event web.
For Sponsors and Exhibitors - Self-service Sponsors Dashboard: One-Tap Lead Classification Configuration. Imagine this situation: you are a sponsor, you have got three products that you want to present at the event. You just had a really good conversation what a potential lead who wants to partner with you on your product B, and has two potential hot leads for that product. You should call them as soon as possible after the event to get this done How do note this conversation? Sure writing a lengthy descriptoin is always an option, but most of the time you don't have time for that, because the next booth visitor is already waiting for you. run.events offers creation of "labels" before the event, which each sponsor and exhibitor can create for themselves, and which contain important "keywords" or "tags". Now imagine having created labels "Product A", "Product "B", "Product C", "Partner", "Hot Lead", "Only swag" etc... And after the conversation with abovementioned lead, clicking only on "5" on five-stars rating, and quickly selecting, with one tap, "Product B", "Partner", "Hot Lead". This way you will immediately after the event know how to follow up, you will remember who the person was, and why the conversation was important. This is an ultra-efficient lead qualification in real time.
For Sponsors and Exhibitors - Self-service Sponsors Dashboard and run.events mobile app: Lead Retrieval - run.events offers industry's best and fastest lead retrieval. Sponsor representatives and/or event organizers can easily select who from sponsors' staff is entitled to the lead retrieval. Those who are, will see the "Lead Retrieval" option in their regular mobile app (there is no separate mobile app needed, everything is in the run.events mobile app). Retrieving leads is as easy as scanning atendee's badge. After the badge is scanned, the sponsor can easily qualify the lead by settint the lead rating with the 1-5 stars rating control, select lead qualification by tapping predefined lead labels for lead qualification, or writing a textual lead note/description. If the event uses gamification and there are sponsor giveaways entered in the run.events, sponsor can also with one tap select which giveaways have been handed out to the lead. Also, immediatelly upon badge scanning, sponsors can see scanned lead's contact data, and start chatting with the lead directly.
For Sponsors and Exhibitors - Self-service Sponsors Dashboard: Lead Analytics and Export. run.events offers an extensive lead analysis for sponsors and exhibitors, where they can get the breakdowns by lead quality, by lead labels, sponsors' personell, and many other information and dimensions. Also, detailed contact and registration information for each retrieved lead is displayed in the sponsors dashboard. Sponsors can easily download all the leads in a structured Excel or CSV format, and easily import them into any target system (CRM) that they use.
For Sponsors and Exhibitors - Self-service Sponsors Dashboard: Booth Events and Side Events Management - Sponsors and exhibitors can easily create and manage their own booth events and side events directly through their self-service sponsor dashboard, transforming their booth from a static display into an active event hub. Whether organizing product demonstrations, executive roundtables, networking sessions, or educational workshops, sponsors have complete control. Each booth event can be configured as either public (open to all event attendees who can discover it in the mobile app and event portal) or private (invitation-only for selected attendees). Sponsors set the event name, description, date and time, location (which can be the booth itself or another venue), maximum attendee capacity, and upload a custom event image to make it visually appealing. What makes this feature truly powerful is the automatic integration: when a sponsor creates a booth event, the system automatically creates a dedicated chat group for that event, enabling sponsors to communicate with registered attendees before, during, and after the event. Attendees can RSVP through the mobile app, receive notifications, and participate in event discussions, creating a complete mini-event experience within the larger conference. This transforms sponsors from passive exhibitors into active event creators, driving booth traffic and creating memorable experiences that generate leads and build relationships.
For Sponsors and Exhibitors - Self-service Sponsors Dashboard: Prize Drawings and Gamification Integration - One of the most powerful tools for driving booth traffic is the integrated prize drawing system that sponsors can configure directly in their dashboard. When creating a booth event or side event, sponsors can attach one or multiple prizes to that event, complete with prize name, description, estimated value, professional images, and the number of winners to be drawn. But the real innovation is in the flexible eligibility rules that sponsors can configure. Sponsors can choose from four different drawing eligibility options: "Everyone" (all event ticket holders can win), "Booth Visitors" (only attendees who had their badges scanned at the sponsor's booth qualify), "Present Attendees" (only those who physically attended the booth event and scanned a special QR code are eligible), or "Group Members" (only participants in the event's chat group can win). This flexibility allows sponsors to incentivize specific behaviors—want to drive booth traffic? Use "Booth Visitors." Want to reward attendees who came to your product demo? Use "Present Attendees." Each prize drawing gets a unique 16-digit QR code that attendees scan with the run.events mobile app to register for the drawing. On the sponsor dashboard, the prize drawing interface features an engaging animated shuffle before revealing the winner, and sponsors can draw multiple winners if the prize quantity is greater than one. The system automatically tracks who has already won, prevents duplicate winners, and can even restrict prizes to specific attendee types (VIP attendees only, for example). Once sponsors confirm a winner, the system records it permanently and can send notifications. This gamification creates excitement, drives engagement, and gives sponsors a measurable way to attract and qualify leads through fun, interactive experiences.
For Sponsors and Exhibitors - Self-service Sponsors Dashboard: Meeting Scheduling and Booking System - run.events provides sponsors and exhibitors with a comprehensive Calendly-like meeting scheduling system built directly into their dashboard, enabling them to offer bookable time slots for one-on-one meetings with attendees. This is especially valuable for sponsors who want to have meaningful conversations with qualified prospects rather than just collecting business cards. Sponsors create available meeting slots by specifying start time, end time, meeting location (booth, private meeting room, coffee area, etc.), and optional notes about what the meeting will cover. Each slot has a status: Free (available for booking, shown in green), Reserved (tentatively booked awaiting confirmation, shown in orange), or Booked (confirmed meeting, shown in purple). What makes this system powerful is its dual-direction capability: sponsors can proactively search for specific attendees by name or company and invite them to meetings, OR attendees can browse the sponsor's available time slots and request meetings themselves. When either party initiates a meeting request, the other receives an email notification and can accept, decline, or respond "maybe" directly from their dashboard. The system intelligently manages slot states—when a meeting is accepted, the slot automatically transitions to "Booked" and becomes unavailable; if declined, it returns to "Free" for others to book. Each meeting automatically includes an integrated chat room where sponsor and attendee can communicate before, during, and after the meeting, sharing documents, links, or follow-up information. Sponsors can assign specific team members to handle different meetings (perfect for larger sponsor teams), and remarkably, when a meeting is accepted, the system automatically creates a lead record in the sponsor's lead retrieval system, ensuring that meeting conversations don't fall through the cracks and are properly tracked in the sales funnel. This transforms the chaotic "catch attendees at the booth" model into a professional, scheduled meeting experience that respects everyone's time and maximizes conversation quality.
For Sponsors and Exhibitors - Self-service Sponsors Dashboard: Attendee Discovery and Meeting Organization - Beyond just waiting for attendees to request meetings, sponsors have powerful tools to proactively identify and reach out to the right prospects. The sponsor dashboard includes an intelligent attendee search feature that allows sponsors to search through all event attendees by name or company, with real-time results appearing as they type. The search respects attendee privacy settings (only showing attendees who opted into public profiles) and displays rich information: attendee name, profile photo, company, job title, professional tagline, biography, and attendee role badges (VIP, Speaker, etc.). This enables sponsors to identify high-value prospects—imagine a software vendor searching for "CTO" or "Chief Technology Officer" to find the right decision-makers, or a recruitment sponsor searching for attendees from specific companies. Once the sponsor finds the right prospect, they can immediately organize a meeting: the system presents a streamlined two-step process where sponsors first select the attendee, then either choose from their pre-created free meeting slots (which auto-fills the time and location) or create a custom meeting time outside their regular schedule. Sponsors can add a personalized note explaining why they want to meet, what they'd like to discuss, or what value they can offer. The meeting request is instantly sent to the attendee with all details, and sponsors can track the response status in real-time. This proactive meeting organization capability turns sponsors from passive exhibitors hoping the right people stop by their booth into active networkers who can strategically target and engage with the exact attendees who matter most to their business objectives, dramatically improving ROI on sponsorship investment.
run.events Abstract and Agenda Management
Content Selection
For Event Organizers
For Event Organizers: Setting up Content Teams. Event Organizers can easily set up multi-person and multi-disciplinary content teams, and assign each team member permissions which decide if they can rate and judge all submited papers / session proposals, or only those from specific buckets.
For Event Organizers: Session / Abstracts rating kanban. Sessions are displayed in kanban lanes, in rub.events terminology called "buckets", where event content team can review them, rate them (rating can be simple 1-5 ratings or custom session rating forms) and then content owners can easily drag and drop them to appropriate buckets. If customers are using call for speakers / call for abstracts, all the submitted session proposals are coming into the "In Evaluation" bucket, from where they can be easily moved or classified. Standard buckets are "In Evaluation", "Accepted", "Declined", "Cancellation Requested" and "Cancelled", and the organizers can create as much of custom buckets as they want which can be of the type "Evaluation", "Accepted" or "Declined". This way, the large number of sessions can easily be split and broken down ointo smaller chunks which are easier to manage. Content team members can either be assigned to all buckets (if they are allowed to rate all the sessions) or to the specific buckets, if they have permissions to rate only sessions from specific buckets. One session can be in only one bucket, it cannot be in multiple buckets.
Calls for abstracts / speakers
For Event Organizers
For Event Organizers: Setting up custom forms for calls for sessions / calls for abstracts. It is up to each event organizer to define which information should be provided in their custom calls for sessions / calls for abstracts, since each industry, each event are different. Having flexibility to create custom session submission forms helps event organizers to support exactly those content selection processes they need.
For Event Organizers: Setting up custom forms for speakers. It is up to each event organizer to define which information about speakers should be provided in their custom calls for sessions / calls for abstracts, since each industry, each event are different. Having flexibility to create specific custom speaker forms helps event organizers to go beyond the standard "Name/Biography/Image" standard speaker forms, but rather co create custom fields which will support different types of professional credentials and acclamations. Custom speaker forms can also be used to collect personal and travel information from spekaers, and to have it centralized at one place.
For Event Organizers: Call for Speakers / Call for Content / Call for Abstracts settings. Event organizers can setup a very detailed and very granular call for content settings, which range from setting basic data ranges from when to when is the call for content open, until whe the session or speaker profile modifications are possible, is there a maximum number of submitted sessions per spaker, as well as setting detailed speaker information for potential and selected speaerks, and creating speaker FAQs for potential and selected speakers.
For Event Organizers: Speaker Labels - use configurable labels (kind of tags) to easily categorize your speakers. Speaker labels can be public (they will be shown in the web and in the mobile app together with speakers details) or private (use for your own classification, not visible to speakers or attendees). Labels can also contain logos or images, so you can assign speaker acclamations and credetntials, which comes very handy for displaying speaker credentials, or company logos, or whatever additional graphical information within the speaker profile. Pull all kind of statistics and analytics based on labels at any time. Multiple labels can be assigned to one speaker.
For Event Organizers: Session Labels - user configurable labels (kind of tags) to easily categorize your sessions. Labels can be used for everything: to define event and session tracks, to denote session depth/technical level, to denote different session topics, etc. Whatever series of data you can think of that you want to classify your sessions, labels are the way to do that. Session labels can be public (they will be shown in the web and in the mobile app together with speakers details) or private (use for your own classification, not visible to speakers or attendees). Labels can contain logos and images, so you can assign any kind of logos to session description, which comes very handy for displaying company logos, or whatever additional graphical information within the session information. Pull all kind of statistics and analytics based on labels at any time. Multiple labels can be assigned to one session.
For Content Team Memebers
- For Content Team Members: Easily rate sessions that are assigned to them. It can be all sessions, or only sessions from specific buckets. Also, ratings can be on the rating scale (can't have, not awesome, it's ok, awesome, must have), or through the custom session rating forms. Content owners then have insights in every team member's ratings, and they can easily comprise the agenda based on individual ratings.
Attendee Feedback
For Event Organizers
For Event Organizers: Setting up custom forms for attendee feedback. run.events offers strong attendee session feedback capabilities, and one of them is the custom feedback forms. If event organizers want to have attendee session feedback (that session attendees can rate sessions they have visited), then custom feedback forms are of crucial importance. Those forms can be very simple, as simple as a single rating field, where attendees can rate sessions from 1 to 5 stars, or very deliberate, long rating forms which are more common at the scientific conferences.
For Event Organizers: Session Check-In and Attendee Feedback Settings. Event organizers can set if they want to track which attendee has attendeed which session, and if they do, how they want to do that: do they want to have people on the session rooms doors (session hosts) scanning attendee badges, or do they want to use self-service session-checkin capabilities (which can be incentived with gamification and coins so that the attendees really participate in session check-in and session feedback collection). Organizers can decide if they want to enable session check-in at all, if they want to allow the attendees to check in into multiple sessions that are in the same time slot (those are the use cases when attendee leaves one session and joins another within the same slot, but can potentially be misused in the gamification), if they want to enable attendee session feedback at all, and if yes, if attendees need to be checked into the session before submitting feedback (which needs to be turned off if event organizers don't want session check-in, but still want session feedback, which then also opens the possibility for trying to game the system with attendee session feedbacks. Then event organizers can also decide if they want to show the session feedback to the speakers and to the content team members. Usually it is a good practice first to manually skim through the session feedback, and to remove all irellevant / malicious comments, before opening the session feedback to the speakers and to the content team.
Session Management
For Event Organizers
For Event Organizers: Session Management - when you need advanced session management, with advanced filtering, sorting and group operations, Session Management screen is the feature to use. This is where users can easily create subsets of sessions, move sessions in batches between buckets, or change session statuses in batches. Publish sessions easily in the mobile app and in the web.
For Event Organizers: Managing Assets, Materials, Uploads, and Papers - Even if speakers can manage their sesison assets (such as presentation slides, papers, PDFs, or other type of materials) in a self-service, very often event organizers are required to do that for them, which this feature enables. Session assets can be uploads or links to external assets.
Speaker Management
For Agenda Organizers
- For Event Organizers: Speaker Management and Communications. - This feature enables organizers to easily search, filter, and sort speakers, look into their data or change their data, add new speakers, and change speaker statuses in batches. This is also the feature from where speaker communciations are managed: easily filter and select speakers that you want to contact, and send either plain emails or rich HTML newsletters to them. Publish speakers easily in the mobile app and in the web.

Digital Signage
For Event Organizers
- For Event Organizers: Digital Signage. Display "currently going" and next two upcoming session at screens of any size and forms in front of the session rooms. Digital Signage automatically reads from the agenda and displays correct sessions. If you change agenda on the fly, digital signage will be automatically update, there is no need then to deal with the digital signage separately. Also, there is "Currently ongoing event-wide" feature, where all currently ongoing sessions, in all the rooms, and all the tracks are displayed. This is very useful for the expo halls, large foyers, or any other places where attendees gather in large numbers, so that they can always have insights what is currently going on the program.

For Speakers: Speaker Dashboard - speakers can at any time log into their dashboard and check all the speaker communications, Speaker-related FAQs, etc.
For Speakers: Self-Service Profile Management and Session Portfolio management - If speakers are submitting more often sessions to different events through run.events, it makes sense for them to create run.events speaker profiles, and to manage their biography and session portfolio there. That way they can submit their session to different events from their portfolio in a few clicks.

Booth Configuration and Management
For Event Organizers
For Event Organizers: Professional Booth Management System - run.events provides a comprehensive booth and exhibition management system that scales from small exhibitions to large expo halls with hundreds of spaces. The system uses a modular component-based architecture where organizers create reusable booth templates, furniture catalogs, floor options, and utility services. Exhibitors mix and match these components to build their booth configuration while organizers maintain oversight through status workflows and approval processes.
For Event Organizers: Booth Templates Library - Create and manage reusable booth templates defining physical dimensions (width, height, depth), base pricing, and design specifications. Organizers can use platform-provided templates (standard sizes like 3x3m, 6x3m) or create event-specific custom templates. Templates include printable areas—specific zones where exhibitors place branding, logos, and graphics—with attached design files showing booth layout and available branding zones. Templates can be marked active/inactive, sorted, and organized by type and size.
For Event Organizers: Booth Furniture and Props Catalog - Build a comprehensive catalog of furniture and props from basic items (tables, chairs, shelving) to specialized equipment (monitor stands, refrigerators, storage, promotional stands). Use the platform's default library or create event-specific options. Each item includes name, description, dimensions, pricing, maximum quantity, and optional printable areas for branded pieces. Furniture is categorized by type and can be restricted to specific booth templates, giving exhibitors a curated selection without coordinating multiple vendors.
For Event Organizers: Booth Floor Options Configuration - Define floor surface options including carpet (multiple colors), wood, vinyl, premium options, branded graphics, or no floor. Each floor type has pricing, visual preview, and description. Organizers set defaults and configure different pricing for different booth sizes (e.g., 6x3m vs 3x3m pricing). Having clear options with visual previews helps exhibitors make informed aesthetic and budget decisions.
For Event Organizers: Booth Utilities and Services Management - Configure available utilities such as electrical power (1kW, 3kW, 5kW), internet (WiFi, ethernet), water, compressed air, phone lines, and waste disposal. Each utility has pricing, description, and availability settings. Mark utilities as required/mandatory (included in all booths) or optional add-ons. Restrict utilities to specific booth templates and set maximum quantities for limited resources. This centralized management ensures all booth infrastructure needs are tracked, priced, and coordinated through one system.
For Event Organizers: Individual Booth Creation and Assignment - Create booths by assigning names/numbers ("Booth A-101"), selecting templates or custom dimensions, and assigning exhibitors/sponsors as occupants. Add public comments (visible to exhibitors) and internal comments (organizer notes). View complete booth order summaries with running total costs. Booths progress through status workflow: Draft (configuration), Constructing (setup ready), Published (finalized). Support both template-based and fully custom-sized booths with individualized pricing for special requests.
For Event Organizers: Printable Areas and Design Specification Management - Define printable areas (design zones) on booth templates and furniture where exhibitors place branding, logos, and graphics. Each area has specific dimensions, design type, and specification files. When exhibitors upload designs, they're uploading to pre-defined zones with known dimensions for production. For example, a template might have areas for 2m x 1m back wall graphic, two 0.5m x 1m side panels, and 0.3m x 0.3m logo placement. This ensures all design assets are collected with correct specifications, eliminating incorrect file sizes or missing elements.
For Event Organizers: Booth Order Summaries and PDF Export - Generate detailed summaries showing itemized breakdowns: booth template, floor, furniture, utilities, and services with individual prices and total cost. Export as professional PDFs for exhibitor internal approvals, budget planning, and financial documentation. Generate on-demand for exhibitor requests or batch-export for all booths.
For Event Organizers: Exhibitor Delegation Personnel Management - Manage personnel and staff from exhibitor organizations who will work at booths. Track roles and permissions (booth configuration, lead retrieval, task management), contact information, and participation status. Send bulk email communications to delegation personnel. Integrated with broader sponsor/exhibitor staff management for coordinated booth access. Export lists, filter by status and position.
For Event Organizers: Booth Status Workflow and Approval Process - Manage booths through clear status workflow enabling exhibitor self-service with organizer oversight. Booths start in Draft (exhibitors freely configure), move to Published when exhibitors submit for review, then to Constructing when organizers approve. Organizers review configurations, leave comments if changes needed, then approve. Comments and internal notes facilitate communication throughout the process.
For Event Organizers: Integration with Sponsorship Packages and CRM - Fully integrated with run.events Events CRM and sponsorship management. Include booths in sponsorship packages (e.g., "Gold Package" with 6x3m booth, premium floor, furniture, utilities). When sponsors purchase packages, booths are automatically created and assigned. Track which sponsors have which booths across event editions, maintaining historical records of configurations and preferences year to year.

run.events Intelligence
run.events Intelligence is the platform's newest product, currently in early access and rolling out to organizers. It turns the data your events already generate into answers you can act on — in plain language, looking both backward at how your events performed and forward at where they're headed. There is no dashboard to learn, no report to configure, and no query to build: you simply ask.
Ask Your Events Anything
For Event Organizers
For Event Organizers: Conversational Analytics in Plain Language - Talk to run.events Intelligence the way you'd ask a sharp colleague who happens to know every figure of every event you've ever run. Ask questions like "How are we pacing versus last year at this point?", "Which ticket type is selling slower than it should be?", or "Where are most of this year's registrations coming from?" and get an answer back in seconds, drawn straight from your real records and rendered as a clean chart with a plain-language explanation beside it. If you know how to use ChatGPT, you know how to use run.events Intelligence: there is no dashboard to learn, no report to configure, and no query language to master. The assistant handles follow-up questions in context, suggests starter questions to get you going, lets you switch any answer between chart and table views, copy or regenerate responses, and export the underlying data to Excel or CSV for deeper analysis and stakeholder reporting. The questions you'd normally park for "I'll pull that and get back to you tomorrow" you now ask in the meeting and move on with the answer, turning yourself from the person who gathers the numbers into the person who acts on them.
For Event Organizers: Curated Dashboards with AI-Written Narration - Alongside the open-ended chat, run.events Intelligence provides ready-made dashboard cards covering the metrics that matter most—ticket sales, revenue, average price, unique attendees, and refund rates, broken down by country, channel, ticket type, category, industry, or time period—each rendered as a visualization you can open with a single click. Every dashboard is accompanied by AI-generated narration that reads your numbers and describes, in plain language, what is actually happening: which segments are rising, which are slipping, and how this compares to where you were before. The narration is grounded in an automatically-assembled brief about your specific event—its dates, capacity, ticket lineup, sell-through, and prior-edition context—so the commentary is always specific to your event rather than generic. The result is an analytics surface that not only shows you the chart but tells you what it means.
For Event Organizers: Understand Who's Really in the Room — and Who's Drifting Away - Filling the room once is good business; filling it with the same people year after year is how events actually grow. run.events Intelligence lets you decode the composition of your audience—returning attendees versus first-timers, with breakdowns by industry, role, and seniority—and, crucially, compare that composition across editions to see how your audience is shifting over time. Surface the signals that hide inside headline totals: a healthy first-timer count can mask a quiet exodus of your most loyal, long-time attendees, and run.events Intelligence brings that drift to the surface while there's still time to act. Spot which industries and roles are rising and which are fading, identify the segments most at risk of not returning, and turn that insight into targeted re-engagement instead of a generic blast reminder, so the leaky bucket becomes a sealed one and growth compounds edition over edition.
AI-Powered Attendance Forecasting
For Event Organizers
For Event Organizers: Know Your Number Before the Doors Open - Ask the one question that has never had a good answer before—"At this rate, where do we land on the day, and how confident are you?"—and run.events Intelligence answers it. The AI learns from how your own comparable past editions actually sold, day by day, at the same distance from their doors, and projects your most-likely final attendance for an upcoming event weeks before it happens. The answer is never a fortune-teller's single number: it's an honest most-likely figure with a confidence range around it ("on current pace you finish around here, and almost certainly between here and here"), visualized as a complete sell-through trajectory with a confidence band across the days remaining until your event. And it knows its own limits—when there isn't enough comparable history to forecast responsibly, it tells you so rather than inventing a number you can't trust. This is foresight, not fortune-telling: a defensible figure you can take to the board.
For Event Organizers: Forecasts That Explain Themselves - A forecast you can't interrogate is just another number to take on faith, so every forecast in run.events Intelligence explains itself on demand. Ask the assistant to explain the projection and it walks you through exactly how it got there—which of your past editions it compared against, where this event currently sits on its sell-through curve, how much of the typical selling window has elapsed, and how that translates into the projected finish. You can even click any individual point on the forecast trajectory to ask "why this number, on this day?" and get a grounded, plain-language explanation for that specific moment. As real sales arrive, the forecast updates and its confidence range tightens—wide early in the campaign, narrowing toward near-certainty as the event approaches—so you always understand not just what the forecast says, but why, and how sure it is.
For Event Organizers: Early Warning When Your Pace Slips - The painful surprise in events is the soft year you discover with three weeks left, too late for anything except panic. run.events Intelligence is built to catch that early. By continuously comparing how this year is selling against how your successful past editions sold at the same point, it surfaces an at-risk pace weeks before you'd otherwise notice—while there's still real time to add a marketing push, revisit the pricing on a slow-moving tier, or lean on the channels that are converting. Your events stop surprising you: the bad year becomes a problem you see coming and manage, instead of a number you discover on the night. Forecastable revenue is manageable revenue.
Cross-Event Benchmarking
For Event Organizers
- For Event Organizers: Benchmark Against "Events Like Yours" - Even before you have years of your own history to compare against, run.events Intelligence gives you a meaningful frame of reference by benchmarking your event against comparable events on the platform. It matches on structural characteristics—event category, geography, capacity band, price tier, and duration—and progressively broadens the comparison set until it finds enough similar events to produce a trustworthy benchmark, so first-time and niche events still get a useful "events like yours" read rather than a blank screen. The benchmark is privacy-safe by construction: it is built exclusively from anonymized, aggregate figures, and no other organizer's event is ever identifiable, named, or exposed in any answer. This means a brand-new organizer gets a credible sense of where they stand from their very first event, while a seasoned one gets external context to complement their own history.
Automatic Cross-Edition History Reconciliation
For Event Organizers
For Event Organizers: Untangle Years of Event History Automatically - You cannot compare across your own events until someone untangles them, and run.events Intelligence does that untangling for you instead of leaving it as your afternoon's homework. Across editions, the same things drift: last year's "Early Bird" is this year's "Super Saver" and next year's "Advance"; an event gets recorded under a slightly different name each year; registration fields and their values change over time. run.events Intelligence uses AI to recognize these as the same thing playing the same role—lining up your editions into a single comparable series, matching ticket types to their canonical equivalents, and aligning custom registration fields and their values across years. Each suggested match comes with a confidence score, and exact matches are recognized automatically. This is the quiet, unglamorous work that makes everything else possible: clean, comparable history that powers accurate cross-edition analytics, forecasting, and benchmarking, produced for you rather than by you.
For Event Organizers: Review and Confirm with a Click - run.events Intelligence proposes; you approve—the AI never silently rewrites your history. Every suggested match lands in a review workspace where you confirm with a click, and once confirmed, that part of your history is clean from then on. The workspace is built for speed: drag and drop to move a ticket type or field into the right group, split a group that was merged too aggressively, reject a match that doesn't belong, or bulk-apply all the high-confidence suggestions at once. Only matches you've confirmed feed your analytics, so your reports always reflect groupings you actually trust—and the review is an invitation, never a gate: your day-to-day answers keep working while you tidy the history at your own pace.
Multilingual Intelligence
For Event Organizers
- For Event Organizers: Ask and Answer in Your Language - Today's events are global, and so is run.events Intelligence. Ask your questions in your own language and get answers—charts, narration, and forecast explanations—back in the same language, so the entire conversational analytics experience works for international teams without anyone switching to English. The multilingual capability spans both the assistant's understanding of your questions and the plain-language explanations it writes back, making the platform's intelligence equally accessible to a German-speaking finance lead, a French-speaking marketing manager, and an English-speaking event director working on the same event.
Trust, Privacy, and Governance
For Event Organizers
For Event Organizers: Answers Grounded in Your Real Numbers — Built Not to Make Things Up - The fear people carry over from consumer chatbots—that AI "makes things up"—is exactly the thing run.events Intelligence is engineered not to do. When you ask how a ticket type sold, the figure comes out of your actual records: it is retrieved, not guessed, and the system is wired so that the numbers it states are numbers it looked up. The AI's job is to explain and narrate; the numbers always come from your data. And the forecast is honest about its own confidence—it gives you a range rather than false precision, and tells you when it doesn't have enough history to answer responsibly instead of inventing something. A tool that knows what it doesn't know is a tool you can rely on, and run.events Intelligence was engineered for scrutiny, not to dodge it.
For Event Organizers: Your Data Is Yours Alone — EU-Sovereign and Compliant - run.events Intelligence only ever sees and speaks about your events. One organizer's numbers are walled off from every other organizer's at the deepest level of the system—there is no shared pool, no leakage, and no "learning from everyone": your history works for you and stays with you, and your data is never used to train foundation models. Built on the platform's EU-hosted, EU-sovereign AI infrastructure, run.events Intelligence carries the same governance posture as the rest of run.events: one-click opt-in/opt-out control over AI features, full EU AI Act transparency about how every answer and recommendation is generated, GDPR-native data subject rights, and complete audit trails of all AI operations and data access for compliance reporting. The two questions every board and security team asks—"can it be wrong without telling us?" and "is our data safe?"—both have clean, confident answers.
