Overview of Booth Orders & Additional Equipment

The Expo module provides a centralized view of all Booth Orders and Additional Equipment. To streamline the management of booth reservations, run.events lets you export a detailed Excel report directly from the Booth Orders overview. This export gives organizers a comprehensive breakdown of every booth order, ordered item, and booth assignment status across your event.

How to Export Booth Orders

Follow these steps to generate the Excel export:
• Open the Expo module from the main navigation.
• Navigate to the Booth Orders section.
• Expand the Booths overview to review all ordered items.
• Click the Export button in the top-right corner of the overview.
• An Excel file (.xlsx) will download automatically, containing all booth order details and items.

Excel Export — Available Sheets
The exported Excel file contains three separate sheets, each providing a different level of detail to help you manage your expo efficiently:

Booth Orders — full line-item detail per order
Summary— aggregated totals by category and item
Booths — high-level overview of every booth’s assignment and status

Sheet 1: Booth Orders
This sheet lists every booth order in full detail, including each individual line item within an order. Use this sheet when you need a granular view of what has been ordered, by whom, and at what price.

  • Row Type - Identifies whether the row represents an order header or a line item.
  • Booth / Stand - The name or number of the booth associated with this order.
  • Assignment Status - Current booking state: Free, Reserved, or Occupied.
  • Progress - Current preparation stage: Preparing, Configuring, or Finished.
  • Name / Number - Unique identifier or display name for the booth.
  • Template - The booth template applied (e.g. standard shell scheme, custom build).
  • Partner - The exhibitor or company assigned to this booth.
  • Price - Total price for the booth order.
  • Internal Comment - Private notes visible to organizers only — not shared with exhibitors.
  • Category - The category grouping for the ordered item or equipment.
  • Item - Name of the specific item or additional equipment ordered.
  • Item Price - Unit price for the individual item.

Sheet 2: Summary
The Summary sheet provides an aggregated view of all ordered items grouped by category. Use this sheet for a quick financial and quantity overview without the per-order detail.

  • Category - Groups items by type for a quick breakdown of orders.
  • Item - Name of the ordered item or equipment.
  • Quantity - Total number of units ordered across all booths.
  • Price - Aggregated price for that item across all orders.

Sheet 3: Booths
The Booths sheet gives a high-level status view of every booth in your event, independent of individual orders. Use this to quickly check occupancy, pricing, and preparation progress across your entire floor plan.

Assignment Current booking state: Free, Reserved, or Occupied.

  • Progress - Current stage in the preparation workflow.
  • Name / Number - Unique identifier or display name for the booth.
  • Template - The booth template applied.
  • Partner - The exhibitor or company assigned to the booth.
  • Price - Total price for the booth.
  • Internal Comment - Private organizer notes, not visible to exhibitors.

Tips & Best Practices
• Use the Booth Orders sheet to verify that all ordered equipment has been captured before the event.
• Cross-reference the Summary sheet with your budget to identify over- or under-ordered categories.
• Filter the Booths sheet by Assignment Status to quickly spot any unoccupied booths close to the event date.
• The Internal Comment column is organizer-only — use it to flag booths that need follow-up without notifying exhibitors.
