Sponsorship Dashboard: Booth Events

Booth Events allow sponsors to organise their own mini‑events directly from their sponsor profile. These can include product demos, presentations, meet‑and‑greets, prize drawings, or any other activity designed to attract attendees to their booth.

 


Visibility

Booth Events appear in the mobile app under the Connect button/label, inside the Social tab, giving attendees an easy way to discover, join, and engage with these activities.


Creating a Booth Event

To create a new Booth Event:

  • Go to Booth Events in the Sponsorship Dashboard.
  • Click Booth Events.

 

  • A flyout window will open.
  • Fill in the event details:
  • Image - Upload an image to visually represent the booth event.
  • Name - The title of the booth event (e.g., “Live Demo: New Product X”).
  • Description - A short explanation of what the event is about.
  • Start Date - The date when the booth event begins.
  • End Date - The date when the booth event ends.
  • Timing - Specify the exact time or time range for the activity.
  • Location - Where the booth event will take place (e.g., “Booth #14”, “Expo Hall A”).
  • Max Attendees - Optional limit on how many attendees can register or participate.


Additional Options

Is Public Event? - If enabled, the booth event will be visible to all attendees.

Includes Prize Drawing? - Enable this if the booth event includes a giveaway or raffle.

 


Prize Drawing Configuration

If the event includes a Prize Drawing, additional fields must be completed to ensure the feature works correctly.

Required Fields

When Includes Prize Drawing is enabled, the following information must be provided:

  • Prize Name – The title of the prize.
  • Prize Description – A short explanation of what the prize is.
  • Image – An image representing the prize.
  • Quantity (int) – Number of prizes available.
  • Estimated Price (EUR) – Approximate value of the prize.


Availability Settings

Define who is eligible to participate in the prize drawing:

  • Everyone
  • Booth Visitors - leads scanned at the booth
  • Present Attendees - those physically in the room who scanned the QR code
  • Group Members Only


Allowed Attendee Roles

Specify which attendee roles can enter the drawing: Participant, Speaker, Sponsor, Organizer, Support

 


QR Code Check‑In

Each Booth Event generates a QR code:

  • Attendees scan it onsite to check in
  • If a prize drawing is enabled, scanning the QR code enters them into the drawing
  • The system ensures winners are selected only from eligible attendees
  • A visual animation accompanies the drawing process
  • Winners can be saved and displayed as part of the event
