Booth Configuration per Sponsor

This guide walks you through the process of configuring booths for individual sponsors after initial booth assignment.


Methods for Booth Configuration

Booth configuration can be managed through two distinct access points, depending on the user's role and permissions within the event system.

Configuration Access Methods

Method 1: Organizer Dashboard

Event organizers and staff members with the Expo Manager role can configure booths directly through the Organizer dashboard. This centralized approach provides:

  • Full access to the Expo configuration booth module
  • Complete oversight of all sponsor booth setups
  • Ability to manage multiple booths across the event

Method 2: Sponsorship Dashboard

Sponsors can manage their own booth configurations through the Sponsorship dashboard. Staff members with Expo management roles can:

  • Access booth configuration tools specific to their assigned booths
  • Update design data and booth requirements independently
  • Review order details and pricing information

Configuration Process

Once you've added a booth and assigned a partner to it, navigate to the booth management area and select the booth from the list to begin configuration.

 

1. Main Info Tab

From the Main Info tab, click Proceed to booth configuration to initiate the setup process. This moves the booth from the preparation stage into active configuration mode.

 

2. Design Data Tab

The Design Data tab allows you to manage all design-related files for the booth:

  • Upload printable design files directly to the platform
  • Share links to larger design files that exceed upload size limits
  • Organize all visual and promotional materials in one centralized location

 

3. Booth Order Tab

The Booth Order tab provides a comprehensive overview of the booth package:

  • Displays complete order information
  • Shows itemized pricing for all selected booth elements
  • Calculates automatically the total cost

 

Customizing the Booth

In Booth Order tab, click Configure Booth to access detailed customization options where you can:

  • Adjust the physical booth layout
  • Select specific amenities and features
  • Tailor the booth setup to meet the sponsor's specific requirements

 

 

Finalizing Configuration

Confirming the Setup

Once you've completed all customizations and verified the details, click Confirm configuration to finalize the booth setup.

 

This action updates the booth status to "Finished".

 


Unlocking the Booth Configuration

Once the booth configuration is in status Finished, it is locked for further changes.

Once locked:

1.Only Event Organizers have the authority to unlock booth configurations. This permission is restricted to users with appropriate organizer roles (such as Expo Manager) accessing the system through the Organizer dashboard.

2.Sponsors Cannot Unlock Configurations from the Sponsorship dashboard, even if they have Expo management roles.

If a sponsor needs to make changes to a locked booth configuration, they must:

  1. Contact the event organizer
  2. Request that the configuration be unlocked
  3. Wait for organizer approval and action

 


Printing Booth Orders

After the booth configuration is marked as both Occupied and Finished, you can generate a printable order document for record-keeping and communication purposes.
