Email as Communication Tool
Email continues to be a vital and preferred method of interaction with your attendees and partners. The run.events platform streamlines the process of sending branded emails to attendees, speakers, sponsors before, during, and after events.
All messages are sent from your own email address and reflect your event’s unique branding. Targeting is flexible: you can reach all attendees, or focus on specific groups based on criteria filtered out on the tickets, speakers, or sponsors screens through a variety of search options. Selecting recipients and sending emails is simple and efficient, requiring only a few steps.
How to get started:

Sending Emails
The email functionality is available throughout the platform, allowing you to communicate with different stakeholders directly from relevant sections.
This action of sending email you can perform from the following views:
- Tickets and Attendees → Tickets - Email ticket holders
- Content and Speakers → Content Organizer - Email speakers/content participants
- Sponsors → Sponsorships List - Email sponsors
- Sponsors → Sponsor Staff - Email sponsor team members
- Sponsors → Sponsor Tasks - Email regarding sponsor-related tasks
- Marketing → Incomplete Orders - Email customers with incomplete purchases

Sending Emails to Sponsors
Follow these steps to send emails to your sponsors directly from the platform:
- Go to Sponsors → Sponsorships List / Sponsor Staff / Sponsor Tasks
- Search and select the sponsor(s) you want to contact

- Click on "Send Email"

Configure Email Settings
A flyout window will open where you need to define the following:
Email Configuration:
- Email from – Select an integrated email address
- Reply to email – Specify if different from the sender address
- Select "Use template" and choose from available templates
Sponsor Audience:
- Sponsor representatives (marked as mandatory recipients)
- Sponsor staff marked as mail recipients
- Sponsor staff marked as task managers

Choose Email Format
You have two email format options:
Option 1: Text Email
- In the Email section, define:
- Subject line
- Body content
- Click "Send"

Option 2: Rich Email
- Toggle the "Rich email" option
- Define the Subject of the email
- Choose a template from those created
- Click "Send"
Note: Rich emails require pre-created templates. If no templates exist, emails cannot be sent using this option.

Sending Emails to Incomplete orders
- Go to Marketing → Incomplete Orders
- Search and select the Incomplete Orders(s) you want to contact
- Click on "Send Email"

Configure Email Settings
A flyout window will open where you need to define the following:
Email Configuration:
- Email from – Select an integrated email address
- Reply to email – Specify if different from the sender address
- Select "Use template" and choose from available templates if applicable

Text Email sending
- In the Email section, define:
- Subject line
- Body content
- Click "Send"
