Common Registration Desk Scenarios

Common Registration Desk Scenarios

Scenario 1: Lost or Damaged Badge

When an attendee requests a replacement badge:

  • Search for their ticket in the Registration Desk
  • Check the badge print history to verify original badge was issued
  • Look for any session entry scans to identify if badge is being used elsewhere
  • Print replacement badge
  • System automatically invalidates original badge and activates replacement

Security Feature: The platform tracks badge scanning activity. If a 'lost' badge appears in session entry scans after a replacement is issued, the system alerts staff to potential badge sharing or fraud.

Scenario 2: Missing or Unprinted Badge

For attendees whose pre-printed badge is missing:

  • Locate their ticket in the system
  • Verify they are not in the wrong registration queue
  • Print badge on-site
  • Check in attendee immediately

Scenario 3: Badge Could Not Be Printed

If the badge printer fails or produces an error:

  • Check printer connection and power
  • Verify adequate badge stock is loaded
  • Check for paper jams or mechanical issues
  • Restart printer if necessary
  • Retry print operation

If issue persists, direct attendee to backup registration desk or manually create temporary badge

Integration with Check-In System

All badges printed through the Registration Desk are automatically integrated with the platform's check-in system. This ensures:

  • Real-time attendance tracking without manual data entry
  • Accurate reporting of who has checked in and when
  • Immediate badge invalidation and replacement if necessary
  • Session entry tracking and capacity management

Key Advantage: Unlike rented badge printing hardware that requires manual data export and import, run.events maintains continuous data synchronization, eliminating check-in data inaccuracies and providing instant access to comprehensive attendance information.
